Event Templates

Some of your academic events may share a number of characteristics in common. These may include: attendees, presenters, event categories, time of day, location, evaluation method and flag colour. No matter what the combination of shared characteristics, event templates will help you harness these similarities and make the event scheduling process faster and more efficient.

Every time you schedule an event you have the option of saving the event details as a template. If you do this, the next time you schedule a similar event you won't have to enter all the information again. You can simply choose the appropriate template and one45 will automatically enter the saved information into the fields of the scheduling tool.

In addition to helping you schedule repeating events (i.e., recurring events that are identical except for their dates), event templates give you complete flexibility when scheduling events that are not identical but that share some characteristics. Event information remains fully editable once it has been entered into the scheduling tool, so you can still make changes to it if you need to.

You should figure out the best way to use event templates for your particular program. To do this, identify the similarities between your events and base your templates on them. For example, if you have four different groups of attendees (e.g., PGY levels 1-4), make a template for each group. This will save you from having to enter all the attendees' names every time you schedule an event for them.

You can edit your event templates at any time.

To edit an event template:

1 Click the Schedules tab.

2 Click the appropriate schedule under the Academic Session header.

3 Click the Prefs tab.

4 Click "Templates."

A list of your event templates appears.

5 Click "edit" beside the template you want to change.

The template details appear under a new Edit tab.

6In the Edit tab, make the changes you want and click the Save button.
