Setting Your Low Performance Flags

Deciding where to set your low performance flags may require input from a number of individuals in your program, including faculty members and other administrators. These decisions will be based not only on the particular evaluation forms and their components but also on the overall educational philosophy of your program.

Low performance flags are intended to be used as a tracking system that highlights both occasional incidents and repeating patterns of sub-standard performance among your trainees. It is important to recognize that just because an evaluation is flagged, this does not mean the trainee in question is automatically reprimanded. Instead, an electronic discussion is initiated between educators and administrators to determine whether or not further action should be taken. Therefore, when you are deciding where to set your flags, recognize that you are not deciding when disciplinary action should take place. All you are doing is setting a performance standard that can be electronically monitored on a case by case basis.

To set your low performance flags:

1 Click the Forms tab.

2 Click "Low Performance."

3 Click the Flags Set-up tab.

4 Click "set flags" beside the appropriate form. Forms that don't have flags are listed at the bottom, so you may have to scroll down to find it.

The evaluation form appears in a new window. This is called the Low Performance Template.

5 For each evaluation component on the form, select the lowest score the evaluee can attain without being flagged by the system as a "low performer." For example, for the evaluation component below, anyone who scores worse than a "Disagree Somewhat" score will trigger a low performance flag.

6 When you have set the flags you want, click the Save button at the bottom of the form. The form appears at the top of the list in the Flags Set-up tab.

When you set flags on a form, the system automatically begins monitoring incoming evaluations for low performers. You can turn flagging off for a particular form at any time by deselecting the checkbox under "Flagging On."

7 To choose which individuals will receive notification when a low performance flag is triggered, click the "+" sign under "Notify in ToDo."

If the individuals are administrators, click "admin." If they are faculty, click "faculty."

A People Picker appears.

8 In the People Picker, choose the individuals and click the Ok button.

Their names now appear in the "Notify in ToDo" list.

These individuals will receive notification in the To Do subfolders of their eDossiers when a low performance flag is triggered on that particular form. They will then have the opportunity to review the evaluation, make comments on the case, decide if follow-up is required and forward the notification to others.

If you want to send a notification email to these individuals as well, select the checkboxes beside their names.

9 To create a list of additional individuals who are likely to be included in the discussion and follow-up of a low performance, click the "+" sign under "Forward QuickPick."

If the individuals are administrators, click "admin." If they are faculty, click "faculty." In the People Picker that appears, choose the individuals and click the Ok button. Their names now appear in the "Forward QuickPick" list.

These names will appear in a list that accompanies the original low performance notification. Whoever was originally notified about the flag can invite any of these individuals to comment on the case. The notification will automatically be forwarded to the new individual's To Do subfolder and they can view the case comments and add their own.
